Program Builder (“app”, “service”) — operated by Institute of Motion, LLC. (“we”, “us”)

We built Program Builder to help you follow the training and wellness programs your coach, gym, or partner organization provides. This policy explains, in plain language, what information the app handles, why, and what your choices are.


The short version

  • We collect only what the app needs to work: your account details, the programs you’re assigned or start, and the workout and wellness data you log.
  • We don’t sell your data. We don’t show ads. We don’t use advertising trackers.
  • Your training data is visible to you and to the coach or organisation that provides your program — that’s the point of the app.
  • You can ask us to delete your account and data at any time.

What we collect

Account information. Your name, email address, and role (for example, client or coach). Your account is usually created for you by your coach, gym, or a partner organisation you belong to. Sign-in itself is handled by our authentication provider — we never see or store your password.

Program and workout data. The programs assigned to you (or that you start yourself), the sessions and exercises you complete, and the details you log: sets, reps, weights, times, and similar training metrics.

Wellness and readiness data. If your program uses them, self-reported scores such as readiness, effort, or how a session felt. This is fitness and wellness information you choose to enter — it may be considered health-related data in some jurisdictions, and we treat it with corresponding care.

Technical information. Basic device and usage information needed to run and secure the service: device type, app version, IP address, and error/diagnostic logs.

We do not collect your precise location, contacts, photos, or anything from other apps on your device. We may, in the future connect to Apple Health, Google Fit, or similar platforms.

How we use it

  • To deliver your programs, play exercise videos, and record your progress.
  • To let your coach or organisation see your progress and adjust your training — this is the core purpose of the app.
  • To keep the service secure, fix problems, and improve how it works.
  • To communicate with you about the service (not marketing, unless you separately opt in).

We do not sell your personal information, and we do not share it with advertisers.

Who can see your data

  • You.
  • Your coach and their organisation. The people who assign and manage your programs can see your program activity, logged workouts, and wellness scores.
  • Your partner organisation, if you access the app through one (for example, an employer or membership scheme). Partners can see membership status — whether your access is active — not your individual workout logs, unless they are also your coaching provider.
  • Service providers who run the platform for us, under contracts that limit what they can do with the data:
  • Auth0 (Okta) — sign-in and authentication.
  • Bunny.net — streams the exercise videos (like any video service, it receives your IP address when a video plays).
  • Our hosting and database providers, which store the data described above.
  • Authorities, if legally required — and only what the law requires.

How long we keep it

We keep your data while your account is active so your training history works as expected. When content or accounts are deleted, records are first soft-deleted (recoverable for a short retention window) and then removed. If your access came through an organisation or partner and it ends, your account is deactivated and your data is deleted after 12 months, unless you ask us to delete it sooner.

Your rights and choices

Wherever you live, you can:

  • See the data we hold about you.
  • Correct anything that’s wrong.
  • Delete your account and data.
  • Export your training data in a portable format.

Email us at privacy@instituteofmotion.com and we’ll respond within 30 days. If you’re in the EU/UK, these rights are backed by the GDPR and you can also complain to your local data protection authority. If you’re in California, these rights are backed by the CCPA/CPRA; we do not “sell” or “share” personal information as those laws define it.

Children

Program Builder is not intended for children under 16. We don’t knowingly collect data from children. If a young athlete uses the app through a coaching organisation, that organisation is responsible for obtaining parental consent where required.

Security

Data is encrypted in transit. Access is controlled by role — coaches see only their own clients, and partner organisations see only their own members. No system is perfectly secure, but if a breach affects your data we will notify you as the law requires.

International transfers

Our service providers may store or process data outside your country, including in the United States. Where required, transfers are protected by standard contractual clauses or equivalent safeguards.

Changes to this policy

If we make meaningful changes, we’ll notify you in the app or by email before they take effect. The “last updated” date at the top always tells you the current version.
